Document flow is a management process whereby managers can track the whereabouts of a physical document and to know how far the document has progressed through an administrative process.
For example, the movie on the right shows the progress of an important letter which needs to be assessed in four stages. The receipt of the letter is recorded at mail reception (Location 1). The letter is passed to the Legal department for review (Location 2) and then the accounts department needs to check some of the statements in the letter (Location 3). Only after this process has been completed can a manager know how to reply to the letter (Location n). In this case therefore, the administrative process consists of 4 stages indicated by the blue areas in the movie on the right.
At reception the online system can issue an adhesive bar coded lable which is affixed to the letter as a unique ID. Subsequently all the staff members have to do on receipt of a letter, or dossier, is scan the bar coded label. This process can automatically time stamp the arrival of a document at each location. An "in" "out" approach can be used if desired where the bar code is scanned when it leaves a location too.
At any time a manager can access the status of any document within any administrative process and be in a position to respond to the sender (interested party) to provide accurate details of progress.
The time stamping of the input to each stage in a process can provide valuable process performance information such as identifying bottlenecks.

It is sometimes important to track the progress of a physical item from the sender to the recipient in a delivery service for parcels, as illustrated ion the left. The same bar-mouse supported process could involve a process handling items within an organization. Examples are items returned for technical service which will arrive at reception (Location 1) they are then evaluated by a technical section (Location 2), be delivered to a workshop for fixing (Location 3) and then sent to the dispatch room for return to the sender (Location 4).
Bar-mouse is a very convenient way to scan in the arrival of a product at any stage (Location) so a manager can track what is happening to many different products. This enables a quick and accurate response to queries on the part of the persons requesting technical service.
